It's Hard to Say Goodbye

It has been a long, difficult, and agonizing process for me but I have decided to shut down the medical and mental health side of Beaver Creek Software. That's right, after 28 years, Beaver Creek Software is shutting down. We are all sad to say goodbye. So many of our customers have become friends over the years and we are going to miss you. The official shut-down date is August 31, 2016.

Why am I doing this? After all these years, why am I closing up shop? Well, simply put, I am retiring, at least partially. Not only that but I am leaving the country and will be living abroad.

I haven't given up on passing the business along to someone else. if that happens you will be notified and perhaps the most important words at that time will be those of Emily Litella (played by Gilda Radner on Saturday Night Live), "Never mind." Right now, however, it doesn't appear likely that I will find someone to take the reins so these are our plans for shutting down and the rest of this article describes what is going to happen.

Please read all of the following carefully. It describes the actions and policies we will use to close down this business. Please don't ask for exceptions to these policies and remember the famous first words of Douglas Adams' story, The Hitchhiker's Guide to the Galaxy, "Don't Panic."

Customer Service

Customer service is being phased out. The first step was to cancel the 800 telephone number for customer service (and everything else), has gone away. Please use our primary telephone number 541-752-7263 to reach customer service.

In about a week or so, customer service will have limited hours. We will keep some level of customer service going until August 31, 2016 but after that date, there will be no more customer service. Until then, if you have trouble reaching someone by phone, contacting us by email at This will be the most certain way to get in touch.

Technical Support

Beaver Creek Software will end technical support services at the end of August. To be specific, the last day we will provide technical support is Wednesday, August 31, 2016. After that date, Joel who does our technical support now, will continue to provide support privately for The THERAPIST Pro 2.5 and 3.0, The THERAPIST EZ, and Aeris Basic.

For all users who have not yet started your initial 60 days of free support, that 60 days starts immediately and expires on August 31.
Those of you who have purchased blocks of support calls that you have not used, those prepaid calls will go away after August 31 so use 'em or lose 'em. There will be no refunds of unused calls.

For those of you who have purchased support agreements that expire after August 31, 2016, you can choose one of the following two options:

  1. Continue to receive support from Joel as you do now, at no charge or,
  2. Get a prorated refund of your support fee.

If you want option number 1, you need do nothing; your support agreement will automatically continue until it expires. If you want a prorated refund of your unused support call or email customer service (NOT TECHNICAL SUPPORT). After August 31, there will be no refunds.

For those of you who are beyond your free support period, you will continue paying for support on a per call basis through August 31. After that, Joel will determine his own support policies and prices. He will also determine whether support agreements will be available.

For Aeris Basic customers who now have free email support. That, too, is ending on August 31 and Joel's policies and prices will take effect.

After August 31

After August 31, technical support will have a different telephone number and email address. Until then continue to use 541-752-7563 and any of the many email addresses that all go to technical support.

The THERAPIST and Aeris Basic

In order to let you keep using our practice management products for as long as you wish, we are making some changes to the following versions of our software:

  • The THERAPIST Pro 3.0
  • The THERAPIST Pro 2.5
  • The THERAPIST EZ 2.6
  • Aeris Basic 2.0

There will be at least one more release of each of these products, perhaps more than one. Only the version number shown above will get the new releases. In addition to fixing bugs that have been reported to us, the new releases will include the following changes:

  • Unlimited number of network users to access the program at the same time.
  • Unlimited number of practices.
  • nlimited number of installations of your licensed program.
  • Clone your license on another installation.

We are not giving any of the programs away and some copy protection will remain in the programs. An access code or activation file will still be needed to activate a new installation or reinstallation. The difference is that you will be able to generate your own activation files.

If you have purchased add-ons such as the Case Manager or Appointment Scheduler, those will remain as part of your license and will transfer to any later installation you do via the activation file you generate.

Because customer service is moving toward limited hours, please don't call to ask when the new release of your program will be done. If we have to take time to answer thousands of calls, we won't be able to get the releases done in a timely manner.

Upgrades and Add-Ons

After the final shutdown, there will likely be no way to purchase upgrades or add-ons. If the version of your program is earlier than one of those listed above, you have only until August 31, 2016 to order the upgrade or add-on.

To encourage you to order, all upgrades and add-ons are now 25% off their normal price. This isn't like a store's going-out-of-business sale. We won't be lowering the price as we get closer to August 31, 2016. However, like a store's going-out-of-business sale, all sales will be final and no refunds will be given.

There will be no more updates to the Codes Module. We have already terminated our contract with the American Medical Association to supply CPT codes. If you haven't purchased the latest version that will convert your diagnosis codes and patient diagnoses to ICD-10, the Codes Module is still available but without the CPT codes. The 25% discount also applies to the Codes Module. Please noted that there will be no additional discount due to the missing CPT codes. As always, you can still update codes yourself manually. Many of our customers do exactly that now.

Other Business

The non-medical side of Beaver Creek Software is a gymnastics program for meet management and scorekeeping. It is called the Gymnastics ScoreKeeper. I will be continuing with that program for the foreseeable future. I already do all the technical support for ScoreKeeper myself so there will be little change.
